Why do we process personal data?
Your personal data is processed by us for the following purposes and legal bases:
To arrange your volunteer project and to be able to contact you
In the first place, we collect some personal data to arrange your volunteer project. For example, we need your name and date of birth to determine whether you have access to a project, or to possibly book a plane ticket. For example, your email address is necessary to contact you, to be able to send you information and to request your Certificate of Good Conduct from the Justis Service.
In addition, we use your name and address details and email address to be able to communicate with you, e.g. to pass on the meeting point of your project.
Finally, we also provide contact details to your fellow project members, so that you can prepare your volunteer project together and travel to your volunteer project together.
Emergencies
We collect and share certain data (contact details in case of emergency, medical data, for example) with our projects and/or supervisors in order to guarantee your safety during your volunteer project.
To optimize our services
We strive to make our website and our digital newsletter as relevant as possible for you. That is why we analyze how you use these media. After registration you will also receive a hard-copy newsletter three times a year. For this we need your name and address details.
What data do we collect and how?
In order to achieve the above objectives, we may request the following information from you:
Personal data you provide to us
If you register for a volunteer project via our website, you provide us with a number of personal data (surname, first name, address, date of birth, e-mail, telephone number, whom we can contact in case of emergency, gender, passport number, profession or study, etc.)
After you have registered for a volunteer project, we can also ask for additional information (such as medical data via a doctor's statement).
In addition, we also collect personal information (your name and/or email address, for example) when you contact us (via email, social media, etc.).
Personal data that we collect based on your visit to our website and when you read our newsletter
The website of IBO-Nederland uses Google Analytics and thus collects data of a non-personal nature (such as browser type or IP address, the operating program you use, location, etc.). This way we can always optimize our website.
When you read our newsletter, we keep track of when and how often you read it and whether you click on an embedded link.
Who do we share this information with?
We may provide the information you give us to third parties if this is necessary for the execution of the purposes described above:
Partners involved in your volunteer project
We only share your necessary data with our partners involved in the organization of your volunteer project. For example with airlines (if we book a ticket for you). In addition, the organization of your project and the European IBO organization that is involved in your project also receive the necessary information (e.g. 06 number, e-mail address). This way they can contact you if necessary (to pick you up at the airport, for example).
Medical data is shared with the project supervisors who supervise your volunteer project and with the European IBO organization involved in your project. This information will be destroyed after the volunteer project has ended.
Fellow project members
Your name and address details and e-mail address will also be shared with your fellow project members in advance. This enables you to contact each other in advance, to make practical arrangements, to raise funds, etc.
Suppliers and service providers
IBO-Nederland calls on external companies or agencies for a number of matters; e.g. accountancy firm, web administrators, Justis Service for applying for a Certificate of Good Conduct. They only have access to certain data that are necessary to carry out their assignment.
Social media
It is possible to go to the IBO pages at social networks such as Facebook, Instagram, Twitter, etc. This function is performed and managed by the social networks themselves. IBO-Nederland has no control over this. We therefore recommend that you read the terms of use and privacy policy of these social networks, if you decide to visit them.
How do we secure your data and how long do we keep it?
IBO-Nederland has taken technical and organizational security measures to protect your data against unauthorized access, use, loss or disclosure. Although we do everything we can to ensure the security of your data, we cannot guarantee this in an absolute way.
We keep your data for as long as necessary to achieve the purposes as described in this privacy statement or for as long as necessary to comply with our legal obligations.
When we no longer need your data, we destroy it or make it anonymous so that it can no longer be linked to you.
How can you manage and possibly delete your data?
You can view your data at any time, have incorrect or incomplete information corrected or have it archived or deleted. You can always contact us directly for this (see point 1.)
You also have the right to object to the processing of your personal data by us or by one of our processors.
In order to exercise your rights, we may ask you for proof of your identity.
